Vacancy: Administrative Assistant
The Pinelands Community Improvement District is an initiative aimed at advancing the suburb Pinelands, with the goal of providing supplementary services to the local authorities and working closely with them with a special focus on safety and security in public open space, the social upliftment initiatives and top-up cleaning and greening operations.
Reporting to and working closely with the Pinelands CID Operations Manager, the Administrative Assistant performs clerical duties to ensure the operations of the organisation function smoothly.
KEY PERFORMANCE AREAS:
- Personal Assistant to the Operations Manager
- Administration role
- Maintenance of an asset register, a member register and a property owner database
- Fulfilling a basic financial function
- Cost control management
- Public relations
- Receiving incoming calls and responding to emails
- Coordinating the rosters of Board-members
- Maintaining an e-filing system.
- Conveying research and preparing reports
- Scheduling office meetings and events
- Handling the recruiting and onboarding of new employees
- Organising and administering the organisational filing system
- Performing clerical tasks that require the ordering of equipment, office supplies, and other inventories
- Creating and updating documents, reports and invoices
- Ensuring that the office is clean, safe, and compliant with policies and regulations

- Excellent office administration
- Ability to generate ideas and solutions flexibly to meet changing business demands
EDUCATION AND EXPERTISE
- A relevant formal tertiary qualification (advantageous)
- Previous relevant experience in an administrative role
- Ability to deal with multiple community stakeholders in a dynamic environment
- Experience working in a CID environment, understanding of the regulation and policies governing CID operation (advantageous)
- Project management experience (advantageous)
- Human Resources experience (advantageous)
- Marketing experience (advantageous)
- Experience in policy development (advantageous)
- Highly IT literate, particularly MS-Office suite (Word, Excel and PowerPoint), as well as incident management and customer support software
